Every person in ImmsBC requires their own profile (called a Person Account). Occasionally, individuals (especially those new to BC, or newly eligible for vaccination) will need to be added into the system.
Pre-Registration check
1. Search for the client using their Personal Health Number (PHN) or full name in the global search bar to determine if the client has an existing profile in ImmsBC.
This is an important step which will help to prevent duplicate registrations.
2. If no profile results are found, click Register in the navigation bar, then Register New Citizen.
Note: depending on your screen's display, the Register button may be hidden. Click the More button to reveal the additional buttons.
Register the citizen (create a Person Account)
1. Choose the appropriate registration method.
> Method A.
Recommended when the client has a PHN (10-digit BC Personal Health Number). Enter the PHN + postal code, then click Quick Register. Certain demographic fields will be pre-populated.
> Method B. (original registration workflow)
Primarily used in situations where the client does not have a PHN. Complete all the required fields.
Click Register to proceed.
- First Name and Last Name of the citizen should be legal names
- Date of Birth - click on the calendar or type the date (e.g. Mar 5, 1945)
- Postal Code
- The postal code of the clinic/pop-up may be used if the client does not have a fixed address
- BC Personal Health Number (PHN) - if available
- If a PHN is entered, click Verify PHN to ensure the client demographics match up with the information held in the provincial health registry. Make the necessary edits as needed.
(Note: if PHN match is unsuccessful, you can still proceed with registration by selecting Next once more)
- If a PHN is entered, click Verify PHN to ensure the client demographics match up with the information held in the provincial health registry. Make the necessary edits as needed.
2. Complete the Citizen’s Contact Information page with the client's email and/or mobile number. These coordinates could also belong to a family member or other person responsible for care.
Note: It is preferable to collect both methods of contact, as it gives health authorities a better chance of reaching the individual.
3. Re-enter the contact information to confirm accurate data entry. Click Review Details.
4. Review details on the Confirmation Page. Select the Edit button to make any necessary updates.
5. Click Register. If successful, the following message will be displayed.
Future communication (invitations, booking confirmations, reminders, etc) will be delivered through email and/or text message to the coordinates provided.
