There are 3 ways to cancel a future appointment:
Related tab - POP UP
1. Navigate to the client's Person Account, and open the Related tab.
2. Locate the appointment that you wish to cancel. If the client has numerous past bookings, you may need to click View All to find the date. Click the down arrow (orange box).
3. From the dropdown menu, click Edit.
4. In the pop-up window, scroll to the Planning section.
Change the Status from Confirmed to Cancelled. Click Save.
Related tab - Appointment Code
1. Navigate to the client's Person Account, and open the Related tab.
2. Locate the appointment that you wish to cancel, and click on the hyperlink (Appointment Code).
If the client has numerous past bookings, you may need to click View All to find the date.
3. At the top of the page, click Cancel Appointment.
4. In the pop-up, confirm by clicking Yes.
In-Clinic Experience - during check-in/identification (NEW!)
During the Identification process, there is a section on the left hand side showing the client's Future Appointments.
The staff member performing the check-in can review the future appointment(s) and cancel upcoming bookings (different dates/locations) if they are no longer needed.
1. Click Cancel.
2. In the pop-up, confirm by clicking Yes.
Troubleshooting
Issue: ERROR MESSAGE - You cannot cancel an appointment in the past
- Reason: Appointments can only be canceled if the pathway status is still NEW, and the appointment is in the future.
- Workaround: the user can instead mark the appointment as "Missed" if the client is a no-show. If no action is taken, the booking system will automatically set the appointment to "Missed" after a few days.
