Check-in (Identification) is the first step in the ICE workflow. Clerks and/or clinic leads may be responsible for the task of checking the clients' identification and locating their vaccination appointment.
1. Set User Defaults to the correct Clinic Location and Date. Click Save.
Note: some clinics may have multiple locations that are age-specific (e.g. 5-11, 5+, 12+, 6mo-4yrs).
Check with the clinic leads to confirm the selection.
- Immunizers who are ImmsBC Providers (Users) may complete the Immunization Defaults section by locating their name and selecting a Reason for Immunization.
- Clerical staff may leave the Immunizations Defaults blank.
2. From the Navigation Bar, select Home.
3. Search for the client's appointment using PHN, or alternatively, by Legal First Name & Last Name.
4. Review the results of the query.
a. Check the demographic details (e.g. First Name, Last Name, and Date of Birth), against the client's ID, particularly if there are multiple search results.
b. Click Check-in Client if this the first time the client is being checked in today.
5. Confirm that the email, phone, and address in ImmsBC are current. Make any necessary updates by clicking Edit.
6. Click Confirm & Save Identification to send the client into the next step, Vaccine Administration.
Troubleshooting
If the Search yields no Results, or your client is not listed among the Results:
Broaden the search.
a. Remove the selected clinic (click the X by the clinic name) and search again; the client may be booked at another clinic.
b. Search by PHN or any of the other fields if you have not done so already.
c. Double check the legal name of the client.
Alternate method #1: Today's Appointments
Search for your client (using name or PHN) from the list of Today's Appointments.

Alternate method #2: Global Search Bar
Search for PHN (or first and last name) using the Global Search Bar at the top of the screen.
Select the profile and proceed with check-in.
Tip
If no results are found after searching using alternate Methods 1 and 2, then it is possible that the individual does not have an account or profile in ImmsBC. Proceed to register the citizen and then check them in.
