When attempting to chart, the user may come across a situation where the client was previously deferred. If the deferral reason no longer applies, then the active deferral must be ended before charting can be completed. Please note that deferrals are agent-specific.
1. Select Agent. The system will prompt you with an orange banner:
2. Scroll down to the Deferrals section and identify the Active Deferral(s) that correspond to the agent. Click View/Edit.
Active Deferrals fall under 2 categories:
- "Effective To" date is blank OR
- "Effective To" date is in the future
3. Review the existing deferral note to determine if it is still applicable.
- To END a deferral: in the Effective To box, end-date the previous deferral by selecting today's date, or an appropriate date in the past.
4. At the bottom of the comment box, make a note of your revision and click Save.
(e.g. the deferral reason is no longer relevant, client consulted with their doctor, etc).
Do not delete the previously authored comments.
5. If the client is proceeding with immunization, return to the top of the form to document Informed Consent and Immunization Information in the appropriate sections.
6. Click Confirm & Save Administration to submit the record.
If the button is green but still says Defer, go back and check the "Effective To" date.
Tips
- Use the Vaccine Administration step (part of the usual In-Clinic Experience workflow) to edit deferrals.
- Deferrals can also be reviewed from the Related tab of the Person Account, but all edits should take place within ICE to ensure the deferral is linked to the correct appointment.
- CAUTION - new deferrals can be added from the Related tab, however, they will NOT be linked to any particular record or appointment.
