Scenario
A client may request a demographic change (name, sex, date of birth) in ImmsBC in order to align with their other identification (e.g. international passport, or other document).
Background
It is important for legal names and other identifiers in ImmsBC to match the client’s BC Services Card, as this data is linked to the Enterprise Master Patient Index (EMPI). The role of the EMPI is to help better match and link client records across a variety of healthcare providers. If there are discrepancies in the EMPI, this may cause potential risks to the client and compromise the quality of care and treatment.
What to do at the clinic
- Explain to the client that the clinic staff are only permitted to update names and other identifiers to match the BC Services Card.
- If clients wish to update or correct their BC Services Card, they can be directed to the Service BC website > “Change your personal information”
- The process is outlined below:
- Initiate the correction with the Medical Services Plan (MSP). Changes and/or corrections to name, date of birth, and gender can be processed through the online form > Changing/Correcting a Name, Birthdate, or Gender - Province of British Columbia (gov.bc.ca)
- Once the demographic changes are complete, a confirmation letter will be issued in the mail. Bring the confirmation letter to an ICBC Driver Licensing Office
- Advise clients to bring all their identification and vaccination documents when traveling domestically and internationally. This can include: International Passport, BC Services Card, BC Driver’s License, BC Immunization Record Card (provided in-person during vaccine appointment).
Other Considerations
- The MSP Account Change Request online form takes about 15 minutes to complete, and up to 21 days to process.
- For urgent requests, please consult the clinic lead, who may be able to escalate the client's case to the Data Remediation staff supporting the clinic.
