If the client’s demographic information in ImmsBC does not match the legal identification they present during the Identification phase, the discrepancy can cause delays or issues with data flow and linkage. In most cases, the ImmsBC account should be modified to match the legal identification.
Within ImmsBC, profiles can fall under one of two statuses:
If the client's profile is EMPI Unverified
1. Ensure that the correct ImmsBC profile has been selected. In the global search bar, search by PHN and/or full name to look for duplicate or alternate profiles that may actually be EMPI-verified.
2. Select the Edit pencil on the left side of the window to enable the ability to edit.
3. Update the information as per the client's official ID (BC Services Card, Driver's License, passport, etc.)
4. Click Save & Verify PHN
5. If the all fields match the information in the province's Health Registry, the profile will become EMPI Verified.
6. If PHN match is unsuccessful, the demographics from EMPI will appear below each corresponding text box. (This is the information stored with the province's Health Registry)
- Note: If the information from Health Registry is incorrect and conflicts with their official ID, the client will need to contact Service BC.
7. Make the necessary corrections to match, and click Save & Verify PHN a second time. Proceed with documenting the immunization.
8. Immunizers may author a Note on the client's profile detailing the discrepancy and directions given to the client.
(e.g. John Doe's year of birth is 1950, not 1951. Client has been instructed to contact Service BC to fix the error in their birthdate.)
If the client's profile is EMPI Verified
This means that the information in ImmsBC already matches the information in the provincial Health Registry.
1. Ensure that the correct ImmsBC profile has been selected.
2. Proceed with immunization if the remaining identifiers and demographics are correct.
3. Immunizers may author a Note on the client's profile detailing the discrepancy and directions given to the client.
(e.g. John Doe's year of birth is 1950, not 1951. Client has been instructed to contact Service BC to fix the error in their birthdate.)
